Job Overview


The Senior Analyst, VPC Admin supports day-to-day operations at the Vehicle Processing Center (VPC) by owning core administrative processes: purchase requisitions, invoices submission/payment, timekeeping & PTO coordination, HR support, and facilities budget tracking. This role is a key administrative partner to operations leadership, ensuring accuracy, compliance, and smooth daily function across the site. 

 

 

Responsibilities 

 

Administrative & Site Coordination (30%)

  • Serve as first point of contact for general administrative needs, including office/operational supplies, meeting coordination, visitor management, and document control
  • Prepare routine site communications, notices, and daily/weekly reports
  • Coordinate badge access control for employees and contractors, including temporary badges, access changes, and compliance checks

 

Purchase Requisitions, Invoice Processing & Budget Support (40%)

  • Create and submit purchase requisitions (PRs), ensuring correct coding, documentation, and approval routing
  • Track PRs/POs through the full cycle including receipt and invoice payment to avoid delays or service disruptions
  • Partner with AP and Procurement to reconcile discrepancies, resolve blocked invoices, and maintain accurate vendor documentation
  • Track the facility budget, including PO commitments, recurring services, and monthly spend against plan
  • Prepare monthly facilities budget summaries and provide regular updates to site management, highlighting trends, variances, and forecasts
  • Support month-, quarter-, and year-end accruals by compiling open commitments and expected invoices amounts

 

Timekeeping, PTO & HR Coordination (30%)

  • Manage employee clocked time (regular, OT, shift premiums) and time-off requests
  • Perform daily audits to resolve exceptions and ensure timely approvals ahead of payroll cutoffs
  • Coordinate HR-related activities onsite: onboarding/offboarding logistics, badge/access setup, training records, policy acknowledgements, uniform/PPE distribution, and personnel file updates
     
Qualifikationen

Qualifications

Education 
•    Bachelor’s Degree or equivalent experience 

 

Experience

  • 2+ years in administrative, AP/procurement support, payroll/timekeeping, or similar operations support experience

  • Experience with an ERP (SAP, Oracle, Microsoft Dynamics) and timekeeping/payroll systems

  • Experience in a Vehicle Processing Center, distributions center, or automotive manufacturing environment preferred

 

Skills

  • Proficiency in Microsoft 365 (Excel, Outlook, Teams, PowerPoint)
  • Strong organizational, analytical, and prioritization skills with excellent attention to detail
  • Ability to work with sensitive information and maintain strict confidentiality
  • Strong communication skills and the ability to support a multi-level workforce

 


Additional Information 

Special knowledge

  • Understanding of PR/PO workflows, basic accruals, and vendor payment processing
  • Familiarity with budget tracking, variance analysis, and reporting
