The opportunity
This is a 12-month fixed-term opportunity for an accomplished Executive Assistant to support the Managing Director of Mercedes-Benz Vans and contribute to the success of the broader Vans business. Acting as a trusted partner, you will help drive executive effectiveness through the coordination of leadership priorities, governance activities, communications, travel, events and stakeholder engagement.
As the central point of coordination for the executive office, you will work closely with the Vans leadership team, retailer network, shared functions, and regional and global stakeholders to ensure information, decisions and actions flow seamlessly across the business. In addition to providing high-level executive support, you will play an important role in leadership governance, communications, event delivery, project coordination, business administration and continuous improvement initiatives.
You will oversee complex schedules, key meetings, executive communications and business events while maintaining governance rhythms, action registers and forward planning activities. Success in this role will be defined by your ability to anticipate needs, exercise sound judgement, build strong relationships and deliver high-quality outcomes with professionalism, discretion and attention to detail.
Our team is based in Mulgrave, Melbourne, and this hybrid role has great variety and flexibility, allowing a mix of working from our newly refurbished offices and home.
Key duties & responsibilities:
Own complex diary, inbox and meeting coordination for the Managing Director, anticipating priorities, conflicts, preparation needs and follow-up actions.
Act as a trusted point of contact for internal and external stakeholders, exercising discretion and sound judgement.
Prepare and quality-check executive correspondence, briefing notes, presentations, speaking materials and meeting packs.
Manage the Vans Executive Committee cycle, including schedules, agendas, papers, minutes, decisions and action tracking.
Maintain leadership calendars, roadmaps, project trackers and governance rhythms across key meetings and business milestones.
Lead or support the end-to-end delivery of team summits, leadership offsites, retailer forums, customer engagements, incentive travel and other key events.
Coordinate executive and business-wide communications, ensuring content is accurate, approved and delivered on time.
Coordinate domestic and international travel, itineraries, accommodation, visas and expense reconciliation.
Support purchase-to-pay, invoice, budget-tracking, onboarding, training and other team administration processes.
Identify practical improvements to templates, systems and recurring workflows, and contribute to priority cross-functional initiatives.
What you will need to be successful:
Extensive experience supporting senior executives in a complex corporate environment, with responsibility for managing diaries, governance activities, communications, travel and events.
Exceptional organisational, stakeholder management and communication skills, with the ability to prioritise competing demands, adapt under pressure and maintain strong attention to detail.
Advanced proficiency across Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, Copilot and SharePoint.
Demonstrated integrity and discretion when handling confidential information, coupled with a proactive, resourceful and customer-focused approach.
Experience using business systems such as Concur, SAP/Fiori, travel booking and purchase-to-pay platforms, with exposure to event management, supplier coordination, budgets and compliance requirements will be highly regarded.
Relevant experience within the automotive industry or another customer-focused sector, supported by qualifications in business administration, office management, events or equivalent professional experience.
