Job Overview:
The Collections Impounds Supervisor will be responsible for leading, managing and developing the Impound team. The Supervisor will provide active coaching and mentoring to team members and assist department leadership with the operation, management, and development of the impound recovery vendors and recovery strategies. They will also monitor Impound accounts to ensure timely and cost effective recovery of units in order to mitigate losses. The Collections Impounds Supervisor will ensure proper analysis and controls are present to manage risk and expenses, especially accounts assigned to outside attorneys, to improve overall performance and efficiencies within the Impound and Recovery processes. Additionally, they will build relationships with recovery vendors and ensure they are adhering to contract terms and overall performance expectations.
Responsibilities:
Coaching and Development - Identify areas of opportunity as well as achievement for
impound administrative representatives. Ensure feedback is given to employees in a
structured and timely fashion. Create/administer development plans to capitalize on
opportunities. Ensure core values are practiced on both internal and external
customers. Recommend candidates for promotional opportunities as well as partake
in the hiring of new personnel. Review career objectives to ensure that adequate
attention is given to areas of growth and development. Network with business to
ensure that qualified candidates are given visibility for potential growth. Assign
projects and foster interaction between various business functions to ensure that
learning of other areas is promoted. Work with the Impound SME to ensure training
materials are updated to align with the documented processes. (35%)
Daily Operations - Manage the daily activities, schedules, goal performance and
operational objectives with regard to the strategic performance of the organization.
Evaluate business metrics and agent performance to identify areas of deficiency and
develop a customized solution. Oversee the negotiation of impound fees within the
provided limits of authority and manage the bailout process for vehicles abandoned
at MB Dealerships. Assist with escalated calls and follow-through on all approvals
according to the limits of authority. Ensure service level agreements are met.
Continually look for process improvements while managing vendor relationships. (25%)- Strategy – Encourage an environment of idea generation/exploration. Identify
business process changes that could be implemented to improve cost efficiency,
minimize loss exposure and increase quality customer service. Collaborate with the
Collections management team to explore feasibility and implement ideas. Determine
strategic direction with current Impound Recovery Vendors while working closely in
conjunction with Vendor Relations Manager to determine current effectiveness of
vendors and identify other vendors that may be able to provide the service in a more
effective and efficient manner. Actively review business processes for opportunities to
create efficiencies, cost savings and a customer oriented approach. (20%) - Compliance - Ensure compliance of business standards through internal audits and audits on external vendor performance. Identify areas that are non-compliant and establish a remediation plan. (10%)
- Communication - Work closely with other department Supervisors and Team Leaders to ensure smooth operation of the department, escalating issues when necessary, providing feedback on process opportunities. Provide regular proactive updates to Collections Management regarding personnel issues, developmental opportunities within the team, status of process changes being implemented, etc. (10%)
Qualifications:
Applicants must be legally authorized to work in the U.S. at the time of application. Relocation assistance will not be provided for this position.
This position requires a minimum of 3 years of overall work experience. Preferred experience includes:
- Business-General: 2 years
- Collections: 1 year
- Customer Service: 1 year
- Management: 1 year
Education:
High School Diploma/(GED) is required, Bachelor's Degree is preferred. Recommended majors include:
- Accounting
- Business Administration
Additional Knowledge:
1 year of prior leadership experience preferred.
