THE OPPORTUNITY
We currently have an exciting opportunity for an Administrator: Maturities to join our highly skilled Operations team. This role takes Operations team to a whole new level, encouraging you to exceed business needs and work in a collaborative team who are just as passionate as you to provide exceptional experiences.
JOB OVERVIEW
The Administrator: Maturities is responsible for managing the end-of-term process for Agility customers from initial customer engagement through to the completion of vehicle grounding and settlement of any end-of-term charges. The role serves as the primary point of contact for customers throughout their maturity journey, ensuring a seamless customer experience while protecting the financial interests of MBFS SA.
The incumbent will coordinate all end-of-term activities, including voluntary pre-inspections, final vehicle inspections, vehicle grounding, excess mileage and damage billing, dispute resolution, and collection of outstanding end-of-term charges. The role requires close collaboration with customers, dealerships, DEKRA, MBSA refinance sales team, collections teams, and other internal stakeholders to ensure compliance with contractual obligations and timely resolution of customer queries all in compliance to the Company's Related Policies, Integrity & Anti Bribery Codes, Conflict of Interest Policy & S.H.E. requirements and to perform delegated S.H.E. tasks and duties & to inform superior about deviations.
KEY TASKS:
Customer End of Term Management:
Manage the end-to-end maturity process for Agility customers approaching contract expiry.
Proactively liaise with Direst Sales team to ensure all customers are contacted to explain available end-of-term options and guide them through the required processes
Act as the primary customer contact for all end-of-term enquiries, concerns, escalations, and complaints.
Ensure customers receive clear communication regarding inspections, vehicle return requirements, excess mileage charges, fair wear and tear standards, and contractual obligations.
Maintain regular customer engagement throughout the maturity process to ensure a positive customer experience.
Vehicle Inspection Management:
Coordinate voluntary pre-inspections with DEKRA to provide customers with early visibility of potential excess damage charges.
Liaise with DEKRA to schedule inspections and ensure inspection reports are completed and communicated to customers.
Review inspection outcomes and support customers in understanding the findings and any corrective actions available to them.
Facilitate the resolution of inspection-related disputes or queries.
Vehicle Grounding and Dealer Coordination:
Coordinate the grounding process with Mercedes-Benz dealerships.
Liaise with dealership personnel to ensure vehicles are returned, inspected, and grounded in accordance with MBFS requirements.
Monitor grounding activities and ensure all required documentation is completed
Resolve operational issues impacting vehicle returns or grounding activities.
Maintain accurate records of all customer and dealership interactions.
Excess Mileage and Damage Administration:
Review final inspection reports to determine applicable excess mileage, damage, or other end-of-term charges.
Validate charges against contractual terms and fair wear and tear standards.
Generate and administer customer billing for excess mileage, damage charges, and any other contractual obligations.
Respond to customer queries relating to charges and support dispute resolution processes.
Ensure all billing activities are accurately captured within applicable systems.
Stakeholder Management:
Develop and maintain effective working relationships with the Direct Sales Team, dealerships, DEKRA, customer service teams, collections teams, and other business stakeholders.
Serve as the central coordination point between customers and operational stakeholders involved in the maturity process.
Participate in continuous improvement initiatives aimed at enhancing the end-of-term customer journey.
Provide feedback on recurring customer pain points and operational challenges.
Perform all ad hoc administrative activities such as waiving of fees / charges, reporting on the portfolio performance

Qualifications & Experience:
2 to 3 years work experience in Financial Services Industry / Banking / Insurance environment
Experience in a Financial Services Legal and Collection environment an advantage
Matric / Grade 12 plus relevant experience
NCA / FICA / FAIS accreditation advantage
